Operator and contact
HerdHaul LLC operates HerdHaul. Contact support@herdhaul.com for privacy questions or requests. Business mailing address: HerdHaul LLC, 21168 East Ocotillo Rd #1093, Queen Creek, AZ 85142.
Information handled
- Account and company information: email address, authentication information, company details, invitations, memberships and roles.
- Dispatch information: customers, carriers, drivers, contacts, locations, schedules, assignments, livestock shipment details, delivery counts/weights, notes and activity.
- Documents and accounting information: BOL identifiers, photos/PDFs, charges, hauler pay records, invoice identifiers, corrections and audit history.
- Connected QuickBooks information: authorized connection credentials and company/customer/item identifiers, contact fields selected for enabled imports, mapping and import-progress records, invoice/BOL transfer records and recovery status. Disabled import features do not run merely because they exist in development.
- Technical and support information: session/company cookies, request and security information, support correspondence, and configured email delivery status.
Companies decide which operational information to supply and which authorized users or recipients should receive it. Please avoid including unrelated sensitive information in notes or documents.
Purposes
We use this information to administer access, provide dispatch and delivery workflows, retain and display paperwork, support office review and selected accounting transfers, deliver configured messages, troubleshoot failures and protect the service.
Connection credentials support the authorized QuickBooks connection. Failure diagnostics use a support reference and limited technical details to investigate issues; this is not a promise that logs contain no personal information across every provider.
Access and service providers
Company members receive access according to their roles. Driver links expose the relevant assignment and delivery workflow rather than office financial information. A valid customer document link may expose selected BOLs to its holder; protect private links and request help if one is misdirected.
Supabase provides authentication, database and private file storage. Vercel hosts the web application. Google Workspace handles support email. Resend supports configured delivery emails. When a company authorizes QuickBooks integration, Intuit receives the invoice/customer information and selected documents needed for those actions. Optional Apple/Google Maps links open those services.
Service providers and authorized support personnel may process information needed to provide or support these functions. We limit access to the service and support purposes described here. Processing can occur in locations used by these providers; this notice does not promise that all processing stays in Arizona or the United States. We may disclose information when legally required, to address fraud or security incidents, or as part of a lawful business transfer subject to applicable confidentiality and privacy obligations.
QuickBooks choices
Authorized company users control the connection and available transfer actions. HerdHaul prepares invoices and transfers selected documents; office staff reviews and sends from QuickBooks, including selecting Attach to email for each required BOL.
Disconnecting stops future syncing through HerdHaul; it does not remove records or documents already created in QuickBooks. Revocation can require retry when Intuit has not confirmed it. Intuit's own terms and privacy practices apply to records it holds.
Cookies and device storage
Session cookies support sign-in, and a company-selection cookie remembers the active company. The web app can cache application resources and store pending delivery information/photos on the submitting device to recover from interruptions. Keep browser data intact until receipt is confirmed. Background delivery after the browser closes is not guaranteed.
Required cookies and local storage support the functions described above. You can manage cookies and site data in your browser, but blocking required storage can prevent sign-in or destroy pending submissions. Optional maps services receive information when you choose to open their links and operate under their own notices.
Retention, cancellation and requests
We retain active-account load history and BOLs to provide the service; there is currently no automatic deletion based solely on their age. This is not a promise of permanent or unlimited storage.
Paid subscriptions are not activated by this notice. Future paid-service cancellation and retention terms will be supplied before paid enrollment; existing separately accepted company agreements remain unchanged. Prelaunch operational records are not automatically deleted solely because of age.
Company-wide closure, export or deletion requires verification of the owner's identity and authority. Before a closure is carried out, we document export arrangements, the effective date and applicable retention exceptions. We preserve information needed to resolve a timely request or comply with an applicable obligation. Individual privacy rights are considered separately from authority over company-wide records. Contact support for the status and handling of a request.
Other categories have different purposes and retention criteria:
- Connection credentials are retained while needed for an authorized connection or a pending revocation, and removed or rendered unusable when no longer needed for that purpose. Disconnect status and limited audit evidence may remain without usable credentials.
- Support correspondence is retained as needed to resolve requests and document relevant service, contractual or dispute history.
- Operational and security logs are retained for troubleshooting, abuse detection and incident investigation. Relevant evidence may be preserved longer for an active investigation or legal obligation.
- Subscription, accounting, agreement-acceptance and audit records may be retained to document transactions, exercise or defend legal rights, and meet applicable recordkeeping requirements.
- Provider backups may contain previously deleted information until their applicable backup lifecycle completes. Access is restricted to recovery or other authorized preservation needs. If a backup is restored, outstanding deletion instructions must be reapplied before ordinary use.
We assess continuing need and applicable obligations when setting retention and responding to deletion requests. We explain applicable exceptions when responding to a request, where legally permitted.
Pending photos or submissions on a device are not protected by server retention until successfully uploaded. Keep the device's browser data intact until receipt is confirmed.
Contact support@herdhaul.com to request access, correction, export or deletion, or to ask about an applicable privacy right. We verify identity and authority proportionately and do not ask you to email passwords or connection credentials. Individual privacy requests are considered separately from authority to export or delete company-wide records. Where the company controls the relevant business records, we may coordinate with that company, subject to applicable law. We explain the result or applicable reason for a limitation and provide any appeal process required by law. You may contact us about a disputed response. We do not penalize the lawful exercise of applicable privacy rights.
Security and audience
HerdHaul uses company-scoped access controls and private document storage, with limited private links for intended recipients. No online service can guarantee absolute security. This product is intended for adult business users. We do not knowingly solicit personal information from children under 13; contact us if you believe such information was supplied so we can investigate and take appropriate action.
Changes and contact
We will identify the effective date and version on the published notice. We will communicate material changes through the service or the company's account contact before the change takes effect when required, and obtain consent where required by law. Contact support@herdhaul.com with questions.
